The lack of a unified workforce utilization tracking system created several operational hurdles for the client. They had no clear visibility into individual workloads or utilization rates, making it difficult to assess staffing efficiency across projects. There was no way to corelate employee effortssales and P&L, nor to evaluate overstaffing, understaffing, or team imbalances. Additionally, gaps in tracking attendance, leave patterns, and man-hour availability limited resource planning. As a result, decision-making was reactive, profitability analysis was incomplete, and opportunities for resource optimization were frequently missed. 

Solution

Difinity Digital developed a centralized workforce utilization dashboard using Power BI, integrating live data from HRMS, Sage ERP, and Zoho Projects. This enabled real-time visibility into workforce performance across departments and projects. The dashboard featured individual utilization metrics (billable vs. non-billable hours), team-level efficiency analysis, leave and attendance impact, project staffing ratios, and profitability per resource. Real time filters, comparative charts, and drill-down capabilities within the dashboard empowered leadership to make smarter staffing decisions, optimize resource allocation, and improve overall workforce efficiency.
